PRESIDENT'S MESSAGE
Greetings ARMA Members and Friends,
June 15 will be our final meeting for this business year and it will be one you won't want to miss!!! We will start with a tour of The Mark Twain House in downtown Hartford, which is quite beautiful and very historical. It is a definite "must see". Next, we will head over to the Butterfly Restaurant in West Hartford and after a wonderful Chinese "family style" meal, will have our annual awards ceremony. It will be a very nice evening and we encourage you to bring your spouses and staff for the ARMA CT grand finale!
It has been my pleasure serving as your president the last two years! As I think back over this time, I came up with the following list of things that have happened during my tenure:

But besides all these, I have to say my favorite thing is about being a member of ARMA Chapter is always attending the monthly educational meetings. I love to learn and listen to the current experts in the RIM field. I always take something back to the office to share and use and I also get a lot of satisfaction seeing the results of a well orchestrated task! It must be the Records Manager in me!
So now I will move on to the new role of Immediate Past President, and I congratulate and look forward to working with the newly elected members of the ARMA CT Board of Directors:

So please consider volunteering some of your time to help on a project, assist with phone calls, etc., whenever a Board member reaches out to you. J

MAY Meeting Recap
John Montaņa, JD, Speaks at May Meeting

"The Data Trap: Why You Need to Manage Electronic Data, and How" was the topic of John Montaņa's presentation to thirty attendees at the May 11, 2010 monthly educational meeting. John Montaņa is Vice President and General Counsel of the PelliGroup, a records and information management consulting firm based in West Point, Virginia. He is also a frequent speaker at ARMA and other events.
In beginning his presentation, Mr. Montaņa made a strong case for WHY we need to manage electronic records in today's environment. It's not just the requirements flowing from laws, regulations, legal actions (i.e. discovery) or an audit. There are other pressing needs like managing electronic clutter, information privacy and determining e-commerce record authenticity requirements.
Electronic clutter affects capacity, system performance and tends to inhibit retrieval of information.
Many countries view privacy much differently than the United States. Some countries (e.g. European Union) are much more restrictive with retention and disclosure. Other countries have no rules such that personal information may easily pass to unintended persons. Records and information managers dealing with multinational records must check the local rules and plan accordingly.
Laws pertaining to the authenticity of records in e-commerce vary based on jurisdiction. Mr. Montaņa noted that "U.S. - centric systems may not comply with requirements in foreign jurisdictions". Some countries have no laws; others range from permissive to restrictive. Our speaker related a story about a Kuwait bank patron who was able to fraudulently claim he did not make an ATM withdrawal because the transaction's electronic record was not accepted in the local court. In Kuwait, bank losses due to such incidents are simply a cost of doing business.
So HOW do we get a handle on records and information? Mr. Montana offered a detailed plan, with an explanation of the issues and pitfalls one may encounter. "Get a handle on things" says Montaņa ..."by developing an infrastructure map of all repositories and content". Understand who knows where information resides and who are the gatekeepers. Beware of information clouds and unstructured data, this content is usually the most difficult to define and control.
Montaņa suggests that any significant e-doc RIM project requires substantial planning. The project plan must address critical dependencies, precedent tasks, assigning enough resources and getting input from key stakeholders. Do not underestimate the time, cost and resources necessary to successfully complete your project.

Connecticut Chapter Annual Membership Meeting

It was a good turnout for the Chapter's Annual Membership Meeting. The meeting was held on May 11, 2010 at the Cromwell Crowne Plaza just prior to the educational meeting. President Anita Castora, CRM welcomed all members and friends. As is customary for the annual meeting, Anita provided us with a recap of another successful year that officially ends June 30, 2010. Highlighting the year was a variety of well-attended educational meetings, all made possible by a sustaining chapter membership, chapter sponsors and the hard work of the board and its committee members.
Also during the meeting the biennial election of board
officers was held. The Elections Committee composed of members Bill Ludkiewicz, CRM (Chair); Linda Mosier, CRM; and LeAnn Power, CRM presided over the election. We are pleased to announce the election of the following members that will begin their two year terms effective July 1, 2010.

Chapter Donates $250 to ARMA International Educational Foundation and Winners of AIEF Raffle are Announced

A FINAL NOTE FROM THE EDITOR
As this is the last edition of the Connecticut Chapter Chronicle that I will produce, I just wanted to say farewell. The last four years have been fun and also a challenge to get out a document that is both collaborative (getting content), and of value to the membership. Thank you to everyone who helped with the earlier format that was created in Microsoft Publisher, that gave us last year's ARMA International Award for Best Newsletter for a large size Chapter.
To keep up with the changing times, this year I requested, and the Board supported, that we begin an electronic, email version of the newsletter. There is still lot's to do, but my hope is that the core process is strong, and that the next Director of Publications can move forward with new and exciting ideas for enhancing it as a tool to connect with our members.
I have enjoyed working with all the members of the Board and will miss the camaraderie of our time spent in Board meetings, conference calls and other planning sessions. I have gained much from the experience, and urge all ARMA members to get involved with your Chapter whenever possible. Being a Records Manager is tough enough, so having support from those who understand your work is one of the best things you can get from your professional affiliation.
I hope to see some of you in the near future. So long for now.
